JOB DESCRIPTION
Manage email distribution List and Department folder right granting;
Support associates in travel arrangement;
Purchasing office supplies as per regulation;
Support in expense claim form, recording and prepare monthly reporting, newsletter, year book/year end video;
Get Department Head’s approval for expense claim form, work on, TPS or other related paper work;
Coordinate with other departments (HR, CTG, GS, CI…) to complete assignments;
Support in interview process;
Support in welcoming guest, invitation letters, supporting accommodation, visa and travel, gift;
Support in receiving/sending courier;
Support associates in daily arising topics.
Manage and distribute department asset (PCs, mouse, key board, RAM, monitor), prepare monthly asset report;
Taxi management;
Prepare for resignation associates- do exit check list;
Manage Department Employee List (Internal, external, intern) and Department Organizational chart;
Prepare for new joiners (PC arrangement, create User ID, phone, taxi card, welcoming new staff…);
Manage department budget and purchasing;
Support Department Head in organizing Department Events like Department meeting, Group Meeting, Workshops, department outing, Year End party…;
Assist to Department Head
Handle travel arrangement (TPS, transportation, visa, flight ticket, accommodation, and advance- reimburse, work permit, resident card…);
Other tasks assigned by Department Head and Group Manager.
Manage Department Head calendar and meeting schedule;
Manage DH’s personal information;
REQUIREMENTS
Do Canva efficiently, have knowledge in other graphic design tools is an advantage.
Honest, good at logical thinking, well- organized, hard- working and responsible perso
4th- year student at university, major in Journalism, Business Administration, Secretary, Hospitality or related fields.
Familiar with Microsoft Office (Word, Power point, Excel…).
Good English skills (Speaking and Writing).
Official university recommendation letter with stamp (mandatory).\
Commitment: full- time or at least 4 days/week for 6 months internship.
Good communication and interpersonal skill and teamwork.

Support for all documents, records and reports according to the requirement from FCM technical team.
Support for project document and execution (check drawing, EHS document, check contractor compliance
Support for preventive maintenance on building, equipment and office facilities activities with FCM technical team members.
Support for repair and troubleshooting facilities system with FCM technical team members.
REQUIREMENTS
Ability to work both independently and in a team environment.

Basic knowledge in Office facilities management is plus.
Basic knowledge in electrical or mechanical is plus.
