JOB DESCRIPTION
House System Coordination
Assist in planning and delivering annual House Events (Creative Day, Sports Day, Debate Day, Fun Run), including logistics, communications, and evaluations.
Maintain accurate student and faculty house assignments; onboard new students and staff into the House system.
Support the implementation of a restructured House Meeting model with cross- house groupings by interest area.
Coordinate with House Captains and Heads of House to foster spirit, inclusion, and inter- house collaboration.
Student Leadership & Council Integration
Provide organizational support for student- led initiatives and representational responsibilities.
Facilitate weekly combined meetings between the Student Council and House Captains; maintain agendas and minutes.
Assist in delivering student leadership development programs throughout the academic year.
Ensure leadership representation is inclusive, diverse, and aligned with school- wide objectives.
Student Exchange Program Coordination
Collaborate with overseas partner schools, parents, and internal teams to ensure smooth program delivery.
Organize student preparation workshops and serve as a key point of contact during exchanges.
Manage operational logistics for international exchange programs (e.g., Westwood Exchange) including itineraries, travel, accommodation, and risk management.
Interschool Engagement & University Relations
Coordinate interschool events (e.g., MUN, sports tournaments, debates) with peer institutions in HCMC and the region.
Assist in implementing the Bilingual International Sports League initiative.
Support the planning of university engagement activities including fairs, alumni panels, and transition support.
Community Events & Outreach
Support the logistics and promotion of student- led and school- wide events.
Ensure bilingual communication and inclusive participation across student populations.
Work with student leaders to organize service- learning projects and community engagement initiatives.
Pastoral Care & Student Welfare Support
Assist in implementing the Trusted Adult model as part of the school‘s pastoral care framework.
Facilitate coordination between students, counselors, and relevant support staff when wellbeing concerns arise.
Monitor student support processes, maintain behavior records, and schedule interventions or follow- ups with the Dean of Students.
Budget & Resource Management
Track budgets related to student affairs (House, Council, exchange programs, events).
Support sponsorship acquisition and partnership development for student- led initiatives.
Prepare requisitions, maintain financial records, and ensure transparency and accountability in spending.
Alumni Relations
Coordinate career- sharing panels and transition talks for high school students.
Develop and maintain student- alumni programming such as mentoring sessions and annual “Alumni Return” events.
Manage alumni databases and correspondence for ongoing engagement.
Internal & Cross- Departmental Liaison
Act as a central liaison between the Dean of Students office and other key departments:
Marcom (Marketing & Communications): Support bilingual messaging for events and campaigns.
Principal’s Office (PO) and Vice Principals (VPs): Provide updates on student affairs initiatives and collaborate on cross- functional programs.
Ensure alignment in messaging, scheduling, and school priorities across all departments.
PLO (Parent Liaison Office): Coordinate parent communications for events, trips, and behavior matters.
Bilingual Communications & Translation
Maintain organized records and databases related to student affairs programming.
Provide interpretation for parent meetings, student assemblies, and staff briefings.
Assist with the orientation and transition of new students and staff into student life structures.
Conduct or support surveys, feedback cycles, and program evaluations.
Handle ad- hoc administrative and logistical tasks related to student programs.
Draft official bilingual notices, newsletters, and announcements from the Dean of Students.
Translate internal and external communications between English and Vietnamese as needed.
REQUIREMENTS
Bachelor’s degree in Education, Event Management, Public Administration, Communications, or a related field.
Proficiency in Microsoft Office and relevant digital tools for scheduling, budgeting, and communication.
Excellent interpersonal, organizational, and multitasking skills.
Familiarity with international or bilingual school settings is preferred.
Exceptional bilingual proficiency in English and Vietnamese (spoken and written).

JOB DESCRIPTION
Teacher Support and Academic Implementation
Plan and deliver induction and orientation programs for new teachers regarding instructional resources, classroom equipment, and team norms.
Coordinate teaching schedules and arrange class coverage/substitution when necessary.
Assist in the implementation of curriculum framework, pacing guides, instructional approaches, and assessment methods to ensure student achievement.
Regularly communicate policy and regulation updates to teachers in a timely manner.
Academic Operations and Quality Assurance
Assist with the Academic Quality Framework: plan classroom observations, organize professional development workshops, collect feedback on curriculum delivery.
Support the development and coordination of the annual academic plan, including teaching and learning activities, examinations, ECA (Extra- Curricular Activities), and academic events.
Manage and optimize learning and teaching resources across subjects and grade levels.
Compile student performance data and teaching team productivity reports; support data analysis and propose actionable strategies for academic improvement.
Inter- department and External Liaison
Coordinate with external stakeholders including publishers, resource suppliers, and professional trainers.
Assist in recruitment processes for new international program teachers.
Liaise with other internal departments (Admissions, Student Services, Events, etc.) for integrated school- wide activities.
Translate internal and external documents including announcements, policies, and curriculum materials as required.
Coordinate and support placement testing and entrance evaluations for prospective students.
Administration and School Policy
Comply with departmental and school regulations, guidelines, and policies.
Attend team/department/school meetings to get updates on codes, regulations, policy.
Other reasonable task assigned by the School Principal/ Direct Supervisor.
Participate in organizing school- wide events and activities.
Apply ethical standards associated with handling sensitive and confidential student information.
REQUIREMENTS
Qualifications/Training
IELTS 7.0 or above
Bachelor’s degree in Education, English, Educational Management, or related fields.
Experience
Understanding of school operations, academic planning, and quality assurance frameworks.
At least 2–3 years of experience in academic administration or teaching in an international or bilingual school setting.
Familiarity with international curricula is highly desirable.
Specific knowledge/Skill
Proficiency in Microsoft Office or teachnology.
Strong communication and coordination skills.
High sense of responsibility, discipline, and integrity.
Attention to detail and ability to handle multiple tasks simultaneously.

Supervise security guards and manage access control.
Sanitation control
Monitor the quality of school cleaning services.

Ensure hygiene standards in classrooms, canteen, and public areas
Canteen service quality control
Monitor daily canteen operations to ensure food safety, hygiene, and service quality.
Ensure compliance with relevant food safety regulations
Collect feedback from students, parents, and staff regarding meals.
Coordinate with the catering vendor to address issues and implement improvements.
Landscaping & pest control
Supervise greenery and landscaping within the campus.

Education

Experience
