ABOUT THE ROLE
Main responsibility: to provide administrative support to the HR Department’s organization and functions.
Reporting to: HR Manager
Main duties:
Recruiting:

Manage forms in the recruiting process.
Report on freelancer pool status.
Create flyers and recruitment posts.
Host online and/or in- person interview.
Manage storing, organizing data and documents from candidates and team members.
Update track log on candidate and staff profiles.
Screen CVs and report for selection.
Follow up on communication with candidates
Prepare documents of onboarding for staff.

Staffing:

Allocate freelancers according to trip requests.
Prepare staff list for sending to schools.
Send staff lists to trip’s team leaders.

Compensation and Benefits:

Make sure contracts are up to date and comply with legal requirements.
Manage contract for full time and freelance staff.
Be able to respond to inquiries from staff members.
Track on Leave days and Compensation days.

Events’ operation:
Feedback

Create and manage feedback forms for freelancers and team leaders.
Report on cases of safety and safeguarding violation, or required for clarification.
Report on satisfactory status, suggestion for improvement

Smugmug link

Send links to photographers.
Create Smugmug links for trips (to send school and photographers)
Download photos for backup.
Check photos each day when trip takes place.

Documentation:

Store and organize documents in the HR Department
Improve process and documents to be efficient and coherent.

Onboarding and training:

Assist in logistics of onboarding and training programs.

Yêu cầu công việc

REQUIREMENT
Technical ability: Proficient in Microsoft Office; Canva skill is a plus.
Language ability: Native Vietnamese speaker and fluent in English.
Required skills:

Ability to work independently as well as collaboratively as part of a team;
Quick and good at social media channels; eager to learn on new tools.
Well- organized and detail- oriented;
Trustworthy;
Strong interpersonal skills and communication skills.

Required experience:

Degree or certification in completing HR trainings/ courses.
At least 1 year of experience in the relevant positions.
