Position Overview
To set up HR Processes in line with government regulations and company policies and procedures. Incumbents will be required to deliver all HR tasks and projects to ensure HR operations are in order.
Responsibilities:
Hiring & Retention
- Finalize the offer to the selected candidates including contract preparation
- Organize an effective onboarding plan and work conditions for new employees by coordinating with IT and Head Office regarding the new email address, Server Access, TP Access, as well as the EXO24 system.
- Screen the CVs and appoint the potential candidates for interview. Follow the interview process up to the final interview and placement
- Ensure all labor related documents are filled, filed and submitted as needed
- Propose and set up the best strategy for recruiting the right candidate from recruitment channels: job board advertisement; LinkedIn; social media; and/or internal reference
C&B and Procedures
- Understand local market conditions and provide recommendations/input to annual salary and benefits planning process
- Manage Performance appraisals of staff and ensure that OKRs are set properly and reviews happen as per timeline and as per norm
- Meticulously maintain employee data, personal files, and an up- to- date organizational structure.
- Manage competitive and transparent C&B policies aligned with the company’s growth strategy and culture.
- Handle all benefits related queries and issues
- Develop a career progression scheme in collaboration with the management.
Business Partnering
- Partner with senior leadership to develop and implement effective HR policies and practices that will support the strategic growth of the business.
- Offer thought leadership regarding organizational and people- related strategy and execution.
- Provide HR expertise in the areas of feedback, employee relations, development and coaching, compensation, and organizational development.
- Educate, coach, and partner with managers on performance management and employee development goals.
- Provide timely information and/or education for all levels of the company on HR issues.
Employee Relations:
- Develop people strategies and design approaches for diagnosing and enhancing organizational effectiveness and employee satisfaction.
- Collaborate with the HR team to champion and accelerate a culture of excellence in which people feel engaged and inspired to deliver top business results.
- Educate team members on compensation practices, including compensation, performance feedback, performance calibration, and career transitions.
Visa & Work Permit
- Ensure the company obtains any required business licenses and ensure the expatriates’ visa/ work permits are always up to date
- Ensure HR–administrative systems operate effectively, comply with the law, and fully support business operations.
- Be responsible for all process to obtain Visa & Work Permit for all expatriates in efficient manner
Work environment
- Support in creation of a comfortable, friendly and transparent work environment for team members
- Ensure discipline of attendance and work ethics and help in taking disciplinary action as may be needed.
Office Administration
- Manage all administrative duties and oversee/manage the annual budgeting process.
- Update legal knowledge concerning all matters of Immigration and expatriates.
- Ensure office facilities are comfortable to work..
- Organize the office layout and maintain supplies of stationery and equipment
Training & Development
- Organize trainings for staff in the destination and arrange follow up sessions
- Ensure new employee Orientation to EXO by briefing them on company policies and ensuring onboarding sessions with relevant people.
- Assess the training by evaluation and come up with post training follow up plans
- Identify the needs, define the training objectives, find the right training agency and organize sessions
Reports
- Realize, update and improve HR indicators (turnover, absenteeism, payroll, etc.) and report these figures.
- Prepare HR monthly and quarterly report and share with GM/AGM
Sustainability
- Ensure full compliance with all office and company purchasing policies, with a strong focus on implementing and enforcing our corporate sustainability policies in both day- to- day operations and procurement.
- Collaborate with our Sustainability Coordinator to launch and drive new sustainability initiatives across all offices.
- Manage waste management and other sustainability initiatives in all offices.
IT
- Manage all IT operations across our offices, ensuring that our infrastructure, systems, and hardware are reliable and secure.
