* HR Operations
- HRIS Management: Operate and maintain the Human Resources Information System for data accuracy.
- Employee Benefits: Update and operate employee benefit programs and internal welfare policies.
- Regulation Management: Establish, update, and ensure compliance with Labor Regulations and internal policies.
- Performance Appraisal Support: Assist in payroll and bonus calculations and facilitate the performance review process.
- Labor Contracts & Personnel Records: Draft and manage labor contracts and related legal documentation. Maintain comprehensive employee physical and digital files.
- Deduction Management: Oversee payroll deduction procedures, including Personal Income Tax (PIT) and statutory insurances.
- Safety & Facilities: Oversee Fire Prevention and Fighting (PCCC) protocols, disaster preparedness, and general office maintenance.
- Social Insurance: Execute procedures for Social, Health, and Unemployment Insurance in accordance with local laws.
- Statutory Reporting: Prepare and submit periodic reports to Labor Agencies and Statistical Bureaus.
- Insurance Management: Manage corporate insurance policies and commissioned insurance schemes.
* Recruitment Activities
- Interviewing: Conduct initial HR interviews to assess cultural fit and soft skills.
- Screening & Coordination: Screen candidate resumes and coordinate interview schedules with department heads.
- Recruitment Planning: Develop strategic hiring plans and identify manpower requirements.
- Onboarding: Facilitate new hire procedures and conduct orientation/integration training.
- Data Analysis: Track, analyze, and report on recruitment KPIs to improve hiring efficiency.
- Offer Management: Prepare Offer Letters and handle salary/benefit negotiations.
- Partner Relations: Liaise and negotiate with Headhunters and Recruitment Agencies.
- Job Posting Management: Draft professional Job Descriptions (JDs) and manage various recruitment channels.
Administration & Japanese Expert Support
* Administrative Tasks
- Oversee office facilities, corporate insurance, and fire safety compliance.
- Manage business travel logistics, including flight bookings, hotel accommodations, and itineraries.
- Organize internal corporate events, including company trips, team- building activities, and conferences.
- Act as the primary point of contact for greeting and hosting partners and clients.
* Japanese Expert Support
- Provide high- quality document translation between Japanese and Vietnamese.
- Manage administrative legalities for expatriates, including Visas, Work Permits (WP), and Temporary Residence Cards (TRC).
- Arrange logistics for Japanese assignees, including housing search and transportation.
Strategic & Other Duties
- Resolve ad- hoc issues and execute additional tasks as assigned by the Management.
- Proactively propose solutions to optimize HR workflows and enhance organizational efficiency.
