JOB PURPOSE
The Project Governance Assistant is responsible for supporting Project Managers in the execution and coordination of various project- related tasks. This includes facilitating effective collaboration among team members, optimizing work efficiency, and ensuring that all necessary tools and resources are available to meet project deadlines.
This role also oversees the management of outsourced staff (OS), including recruitment, onboarding, offboarding logistics, orientation training, and leading monthly performance evaluations across all projects. The assistant ensures full compliance of OS with MBAL regulations and identifies and addresses any potential violations.
Additionally, the assistant provides administrative support to projects, including the preparation of complete project documentation and coordinating payment processes in accordance with contractual agreements.
KEY RESPONSIBILITIES:
Facilitate communication and collaboration among team members to enhance efficiency and workflow.
Providing administrative support to project managers when necessary.
Support project managers in processing payments according to contractual agreements, ensuring timely and accurate financial transactions.
Coordinate onboarding and offboarding logistics for outsourced staff, including documentation and necessary procedures.
Assist in the preparation and maintenance of comprehensive project documentation, ensuring all necessary records are complete and up- to- date.
Oversee the recruitment process for outsourced staff (OS), ensuring alignment with project needs and organizational standards.
Identify and address any violations of regulations promptly, reporting issues to management for further action.
Monitor outsourced staff activities to ensure adherence to MBAL regulations and company policies.
Identify and address any gaps in resources or tools that may hinder project progress.
Ensure team members have access to the necessary tools and resources required for project execution.
Facilitating communication among team members and liaising with the project manager.
Conduct orientation training for new outsourced employees to familiarize them with company policies and project expectations.
Implement monthly performance evaluations for outsourced staff across all projects, ensuring compliance with performance standards.
Assisting the project managers with resource allocation, budgeting, logging expenses, and filing financial reports.
