- Responsible for keeping commitments in a timely manner and resolving guest complaints promptly.
- Each corporate/travel accounts must have their own file indicating the rates, cost breakdown, proposal, contracts, action memo, etc.
- Ensures that all lead requests are handled as per the policy and not exceeding the lead handing timeframe policy. Ensures active follow up on sent offers as per guest requirements.
- Prepares reimbursement/liquidation for the transportation expenses for the week
- Assess group business to maximize contribution from available public space, generating room revenues whilst achieving Meetings and Events budgets
- A minimum of five (5) quality calls a week and 25 telemarketing calls once a week
- Invites prospective clients to have an ocular inspection of the hotel’s facilities and provides entertainment at the coffee shop for potential clients especially when closing a sale.
- Coordinates with various hotel departments to ensure satisfactory delivery of services in accordance with prior arrangements and commitments or as stipulated in the contract with the clients.
- Participates in sales blitz, industry hosted events, expo / exhibits or any related travel / trade shows.
- Solicits room sales thru sales calls, telemarketing, telephone and or email inquiries.
- Submits planned itinerary for the week; prepares weekly report and monthly report indicating rooms and banquets production.
- Responsible for bookings, generating proposals, generating contracts, issuing confirmations and follow up process with all MICE and wedding customers that are assigned to you.
- Updates database regularly
- Preparation of offer letters according to the guest requirements. Ensuring company standards are in place.
- Drive, manage and maintain robust positive relations with all key accounts and business partners of the hotel.
- Updates call reports regularly on client’s information, contact person, contact numbers, email address and or office address, etc.
- Yields all leads prior to the offer letter being sent out, in terms of, venue assigned or rates offered – especially in an area set up, and seeks the required approval to take the booking
- Contributes ideas in the preparation of the marketing plan.
- Maintain timely and responsive communication with all accounts and prospects.
- Maintains complete up to date of call reports / itineraries
- Must be aware at all times on the existing or current promos / hotel packages and rates structure of different market segment.
- Contributes information to market strategy by monitoring competitive products and reactions from clients.
- Recommends strategies to improve sales revenue.
- Personalizes and executes the event for the Meeting planner
