The Sales Admin is responsible for ensuring smooth order processing, accurate data entry, and effective coordination with logistics partners. This role plays a critical part in ensuring timely and efficient delivery of products to customers while maintaining strong internal and external stakeholder communication.
Order Processing & Management
Accurately key in customer orders into the system, ensuring all details (product codes, quantities, pricing, delivery dates, FOC, etc.) are correct.
Validate orders and stock availability.
Ensure timely order confirmation and proactively communicate any discrepancies or issues with the sales team.
Track order status and ensure updates are reflected in the system with logistic partners
Logistics Coordination & Follow- up
Work closely with logistics partners to ensure orders are picked, packed, and shipped on time.
Coordinate with warehouses and transport providers to monitor delivery timelines and resolve any issues.
Proactively follow up on shipments, addressing delays and escalating issues where necessary.
Ensure proper documentation (delivery notes, invoices, shipping documents) is prepared and shared with relevant stakeholders.
Customer & Stakeholder Communication
Serve as the primary point of contact for customers regarding order status, delivery schedules, and any related inquiries.
Work closely with sales, logistic partner and supply chain teams to resolve order- related issues efficiently.
Handle complaints related to order fulfillment and provide timely resolutions.
Maintain and update customer records in the system, ensuring accuracy of contact details and order history.

Qualifications
Bachelor’s degree in Business Administration, Supply Chain, or a related field preferred
Experience
2+ years of experience in customer service, order management, or logistics coordination
Proficiency in ERP/order management systems (SAP, Oracle, or similar) is an advantage.
Skills & Competencies
Strong attention to detail with a high level of accuracy in data entry.
Excellent communication and problem- solving skills.
Ability to multitask and work in a fast- paced environment.
Strong team player with a proactive and customer- centric mindset.
