KEY RESPONSIBILITIES
Receptionist
Answer and transfer incoming phone calls through the company’s hotline.
Greet and welcome visitors professionally and ensure a positive experience.
Ensure that the office environment is tidy, clean, and well- organized at all times.
Administration
Personnel Management: Oversee and manage the daily tasks and performance of drivers, office cleaners, and the IT Helpdesk.
Vendor Management: Search for and evaluate new potential vendors when needed.
Office Asset & Equipment Management: Monitor and manage office assets such as desks, chairs, computers, printers, etc.
Payment Management: Follow & make payment for all office expense.
Travel Support: Book air tickets and hotel accommodations upon project or departmental request.
Document Handling & Transportation: Manage incoming and outgoing documents, taxi cards, and oversee transportation arrangements (taxis, air tickets, etc.).
Liaison with Building Management: Work with the building management team on issues related to the office environment (e.g., elevator maintenance, air conditioning, utilities, etc.).
Office Cost Management: Track and manage office- related expenses such as rent, electricity, water, transportation, and delivery, etc.
Other Duties
Support in onboarding processes (e.g. parking cards, welcome kits, water bottles, handbooks).
Provide additional administrative support as required by Heads of Departments or the Board of Directors.
KEY REQUIREMENTS
Bachelor’s/ College Degree major in Human Resouces Management, Business Administration, etc.
Proficient in MS Office (Word, Excel, Outlook);
Strong communication and time management skills;
At least 3 years of experience in a similar position, preferably in small to medium- sized companies;
Good organizational and management skills;
Patient, proactive, and detail- oriented, with a mindset that strives for excellence and perfection in daily work.
Good English communication;
Able to adapt quickly and perform well under pressure;
