<Position Objective/Expectation>
- The position oversees the HR, Admin, and Accounting Team ensuring that it is productive and functioning accordingly.
<Job Responsibilities>
CORPORATE PERFORMANCE MANAGEMENT SUPPORT
Perform other duties assigned by directors and headquarters.
Review and approve various business and legal agreements, company expenses, and other HR/IT/general administrative matters based on the mandate rules matrix.
Consolidate GP timesheets/utility tracking for all departments and create GP analysis charts.
Prepare budget reports for the Japanese head office, and documents necessary for internal reports and departmental meetings.
Prepare documentation and address annual internal and external audit issues.
INTERNAL HR- ADMIN MANAGEMENT
Assist the Directors in preparing long- term and short- term budget plans, manage department costs, and strategize to meet monthly budget targets.
Manage the Company Home Page or website and ensure that it is updated accordingly.
Review and recommend the approval of departmental expenses such as company events, outsourcing contracts, purchased supplies, rentals, and all Legal and Admin- related contracts.
Lead in implementing health- related activities as needed.
Consolidate, review, report, and recommend approval (if applicable) of all employee movements such as hiring, labor contract renewal, resignation, salary adjustment, etc. to the Directors.
INTERNAL ACCOUNTING MANAGEMENT
Ensure submission of Debit Notes and Acceptance Certificate (3KUSD) by all departments for payment processing.
Work with internal and external auditors for any audit concerns.
Present/report monthly Accounts Receivables for collection in Workload and report status to Head Office on the next month.
Ensure proper safekeeping of the Petty Cash Fund and conduct regular cash count before replenishment approval.
Oversee monthly closing of books; review and consolidate financial documents such as Balance Sheets, Cash Flow, Budget Control Chart, and Profit and loss for reporting to Japan Head Office.
HR management
Provide training and development programs to new and current team members
Review, process, and report violations of employees and discuss with the Directors for action.
Regularly review department staffing requirements and make hiring recommendations.
Conduct timely performance reviews of direct reports and ensure that appropriate feedback, commendation, salary increase, promotion, discipline, and/or improvement plans are given.
Conduct regular department meetings and check the progress of work assignments.
