Responsibility
C&B
- Complete SHUI for employees every month
- Prepare Performance Evaluation Sheet for members and support Country Manager in doing Performance Review Process (twice per year)
- Do Labor Contract Termination and contact Social Health Offices and the Labor Authority on providing Labor Book, Social Insurance Books for Leaving Staffs
- Manage Staff’s Attendance, Leaves records and business trip.
- Develop and implement company policies in accordance with laws and RGF internal policies
- Do Monthly Incentive/Commission/Allowance/ Rewards Calculation
- Payroll Calculation and compiling annual PIT and report to the Tax Department
Personnel Database Management
- Labor Contract:
- Give notice to Country Manager and Line manager and collect performance record for member before contract expired date and probation term end
- Prepare Labor Contract
- Update new comers tracking and contract database and provide follow- up action as needed (renew, increment, leaving)
- Collect and manage personnel information (Profiles, Graduation Certificates,
Criminal Records and other required documents)
- Develop and issue company’s policies such as: working conditions, performance management, disciplinary procedures and absence management
- Internal Regulations
Japanese Members Support
- Prepare Visa and Work Permit applications, coordinate with service agency to get Visa and Work Permit for Japanese members,
- Ensure Japanese members’ Criminal Records are obtained prior to their joining date
- Consult Japanese members about related legal affairs
- Manage the registration and renewal of Medical Health Insurance for new members
Recruitment and On- boarding Process
- Do Orientation Training for new members: Company Profile, Internal Regulations and HR
- Work with Head Quarter’s Admin team to prepare and setup their PC, email, user account, etc.
- Follow up Internal Recruitment Process both Local and Expatriate members (do Paper Screening, do 1st round interview, support Line Managers to set interview schedule, prepare Offer letter and support new member before joining)
systems & policies
Others
- Have custody of the seal of the company and seal service agreements, legal forms, and other official documents on the company’s behalf.
- Coordinate in the planning and operation of company events such as company trip, year- end party
- Fulfill local report requirements following templates of local authorities (Department of Labor, War Invalids, and Social Affairs (DOLISA), Immigration department,…)
