RESPONSIBILITIES
• Receptionist tasks
Make sure reception counter available during working time 9am- 6pm including lunch time.
Keep the reception area and shared area clean & neat;
Supervise Cleaner Job to ensure all tasks done and office area cleanliness;
Supporting Preparing office party;
Answering and transferring all incoming calls properly and relevant person (in English & Vietnamese);
Supporting other departments and other task as require from BOD;
Greeting customers when they enter the building and extending professional assistance, when necessary,
• Admin tasks
Make payment request for all related tasks;
Oversees and administers the day- to- day activities of the office.
Purchase & manage office facilities/services/equipment (USB, HDMI cable, …);
Arrange flowers for office and for customer&039;s events;
Managing the occupancy of BBC upstairs Bar;
Prepare reports to help track company expenses and budgets
Work with maintenance team to ensure all equipment, machines, air con in office work well, office clean and professional;
Order drinking water; Manage pantry stock/ toiletry; Manage sales sheet;
Other requested by Finance manager, BOD
Handle company executives with administrative tasks such as offices supplying, stationary photocopying, scanning, printing, replacing ink toner/ fixing printers), and bike parking management.
Manage office license and notary license;
Replace ink toner/ fix printers;
Order stationary for office, stationary, sale sheet, catalogue, paper bags and place orders when necessary;
Manage company documents by sorting, filing, and delivering office memos, mail or other documents
Managing the occupancy of the meeting rooms with beverage;
Handle all incoming and out- going mails/ correspondences, couriers (both domestic and international)

Booking hotel, fights, cars for back office, Sales Team and BOD;
Handling taxi cards and taxi expense reports;
PERSONAL SPECS
• BA- College degree of English/ Business Administration or relevant degree
• Good at English
• From 6 months of experience in administration
• Good at MS Office
