Main duty:
Support HR team in internal events/ internal seminar and other internal team include legal and accountant team.
Support on drawing and implementing the company policy and process on Admin & Office management.
Manage and control the administration expenses to optimize and minimize the cost.
Handle all admin tasks such as office supplies, office management, business trip request.
Verify that the company policy and internal processes on admin and office management are respected.
Main tasks:
Administration and Office Management
Manage incoming mail and outgoing mail, taxi fee, grab fee effectively to ensure proper of their charges of expenses.
Other tasks assigned by line managers.
Take messages when the call receiver is not available.
Manage and control the administration expenses to optimize and minimize the cost.
Handle the business trip request for all employees from booking hotel, airplane/ bus/ train ticket, arrange car or rental car for moving during business trip; and checking, report the expenses related to business trip such as daily allowance, entertainment fee, other expenses, …
Handle company car management, cross check and prepare the payment for company car rental.
Support on drawing and implementing the company policy and process on Admin & Office Management.
Take care of, follow, manage, and prepare the payment for all office supplies and working facilities (stationaries, mineral water, snacks, laptop, IT license relating to work, email and email management, name card, company employee card, …) and office management (parking fee, rental office fee, electricity, water, internet, camera system, telephone system, cleaning office…).
Greet clients and visitors and direct them to desired contacts.
Support on other Admin tasks for internal and external team.
General & Report
Support to handling Admin and Office management processes and procedures in accordance with company policies.
Provide line managers with a full report on admin management expenses.
Other tasks assigned by line managers.
Supporting/ leading, planning and implementing internal events/ seminars with HR team.
Supporting paperwork tasks for legal team and accountant team if need.
