Job Responsibilities:
Oversee office services, including managing post office, transportation (e.g., Grab), monitoring utilities (electricity and water), handling building parking arrangements, preparing a list of monthly expenses, collecting VAT invoices, controlling costs, and registering new users.
Regularly coordinate with the parent company in Japan to fulfill operational requirements. Being a bridge communication to align internal operational processes between VN and JP for an agile workflow.
Organize and consolidate invoices, receipts, and payment records. Create payment requests on the internal system.
Responsible for updating and maintaining company documents, including the ERC, IRC and the Company’s Charter.
Ensure the proper maintenance of office equipment. Follow vendor contracts and warranty periods, and promptly update quotations and contracts for any broken or new items.
Provide comprehensive administrative support as schedule group meetings, manage calendars, draft documents, create reports, and business travel arrangements.
Tax: Perform the tax declaration for the office & foreigners&039; landlord.
Coordinate with relevant stakeholders to organize internal activities such as company trips, Kick- off, health check, mandatory training such as fire protection and prevention, occupational hygiene and safety, Christmas party, Year- end Party, etc.
Assist with ad- hoc duties and activities as needed.
Office maintenance: liaise with vendors and service providers for office repairs, maintenance, and supplies. Monitor office equipment functionality and coordinate repairs or replacements as needed.
Administrative policies and procedures: cooperate with other departments (if needed) to ensure compliance with administrative policies, procedures, and guidelines. Suggest improvements to enhance efficiency and effectiveness.
