JOB SUMMARY
Responsible for preparing all event documentation and coordinates with Sales, hotel departments and customer to ensure consistent, high level service throughout pre- event, event and post- event phases of hotel events. This position primarily handles events of average complexity. Ensures all hotel events have a seamless turnover from sales to service back to sales. Recognizes opportunities to maximize revenue by up- selling and offering enhancements to create outstanding events.
JOB SPECIFIC TASKS
• At all times to represent the hotel in accordance with company standards of dress, grooming and hygiene.
• Complete your monthly forecast on the Department sheet.
• Interacts with guests to obtain feedback on product quality and service levels.
• Check all your meeting rooms before the start of any functions to ensure that they are set up to the specifications on the Banquet Event Orders.
• Coordinates and communicates verbally and in writing with customer (internal and external) regarding event details.
• Makes presence known to customer at all times during this process.
• Answer and qualify all enquiries by telephone, informing clients of the Hotel’s facilities and dealing with the co- ordination and follow- up of all leads.
• Ensures billing accuracy and conducts bill reviews with the clients prior to processing the final bill.
• Leads pre- event and post- event meetings for assigned groups.
• Acts as liaison between field sales person and customer throughout the event process (pre- event, event, post- event).
• Assist Banqueting Managers and Event Manager as and when required.
• Ensure good communication with other departments.
• Empowers associates to provide excellent customer service.
• Ensure that all correspondence is securely filed and all files are kept up to date.
• Compile and type all you Banquet Event Orders, and be responsible for the issuing of any “late” banquet orders and amendments. Then distribute the BEOs with an accompanying letter.
• Stays available to solve problems and/or suggest alternatives to previous arrangements.
• Follows up with customer post- event.
• Responds to and handles guest problems and complaints.
• Be responsible for the yield management of your meeting rooms in the diary.
• Offer and conduct show rounds of the hotel as and when necessary.
• Facilitates various meetings as necessary (Banquet Event Order meeting, block review, etc).
• Compile on a monthly basis a Booking Pace report.
• Attend the Banqueting Monthly meetings and weekly BEO meetings.

• High school diploma/G.E.D. equivalent
• At least 1 year of related work experience
• Computer skills
• Good at English skills
• No supervisory experience is required
