Position: Receptionist
- Sign for deliveries and ensure all mails and packages delivered to company
- Keep an eye on security and telecommunications systems of lobby and office
- Support controlling and maintaining locker area for visitors
- Notify relevant employees/departments when visitors arrive.
- Organize the lobby and reception area while complying with office procedures, rules, and regulations.
- Serve visitors by greeting, welcoming, and directing them appropriately.
- Answer visitors’ questions, calls, and emails, and provide them with the relevant information.
- Support transportation and accommodation booking for expats
- Follow security procedures, such as monitoring the logbook and issuing visitor badges using visitor controlling systems
- Other tasks as appointed by department manager Development Path:
- Be able to join factory/office fit- out and set- up from beginning
- You will be trained up to handle administration/factory operations jobs or transform to secretary/assistant for departments or management level. (Just a soft remind this position is not suitable for appliers who look for stable jobs at front desk for very long- term)
Positon: Department Secretary
- Supports daily administrative operations and translation for IE/FAC/SEC Department:
- Arrange work schedules, meeting schedules, record and summarize meeting contents for department director and managers, ensuring department work progresses go smoothly.
- Manage and provide office supplies for IE/FAC/SEC office (water, stationery, essential supplies...)
- Support arranging events (tour/dinner...) for department
- Make travel arrangements, including booking flights, transportation, hotel and restaurant reservations, etc., for department
- Make payment/clearing expense, prepare monthly reports related to administration tasks- Perform other tasks as requested by direct manager
- Draft, synthesize and translate reports, documents, instructions and procedures in Vietnamese and translate to English.
- Translation from Vietnamese to English and vice versa for department members, directly interpret Vietnamese/English when department members work with partners, managers, and foreign experts.
