Position: Operations, Sea Export
Contract term: Outsourced, 7- month Temp
Working Location: Tan Binh ward, HCMC
Purpose of the position
• Follow Company applications and policy
• Communicate with all involved parties
• Manage vendors/shipper and carriers
• Check P&L of shipment
• Manage shipment from booking to arrive at destination
Main Duties & Responsibilities
• To carry out daily operations tasks efficiently and work within area guidelines and company’s policies and procedures
• To optimize relationship with customers, carriers and subcontractors to deliver excellence service
• To carry out approved proposed improvement/changes on procedures and systems
• To support Sales and overseas offices for retaining existing and gaining new customers
• To update CW1, EDC, … and other applications
• To take up additional tasks as assigned
• To follow customers SOP and internal SOP
• To complete all required task from company systems.
• To follow and complete shipment till arrive destination
• To carry out the approved improvement and changes on procedures and systems made by supervisors.
• To back up other operation team
• To check and verify documents and update company systems
• To follow up shipment as per procedure: advices and feedback to customer and overseas stations shipment status and make respective booking arrangement (pickup, booking with carriers etc.)
• To comply and meet all KPI from customers and company
• To report and feedback on irregularities, pre- claims, and problems to Supervisors
• To handle and ensure billing/costing on time
• To handle incident, pre- claim and feedback to customer’s inquiries, complaints, claims follow up
• To verify cost and provide shipment number for incoming invoices from Intercompany and subcontractors/carriers
Authorities
• Release Booking Confirmation/BL to customer
• In line with scope of tasks and in agreement with management
• Issue Debit to customer/network
• Verify & confirm INV/Debit (Local charge, DEM/DET, OF if any, late payment,...) of Carrier/Sub
• To book/submit request to approved subcontract/carriers
• Request/check/approve profit share/Intercompany INV as Group Approval Matrix
• Communicate to all involved parties
Contract term: Temporary 7 months, OS.
Skills and Specification
• Good at Microsoft excel, word
• BA Foreign Trade. In same or similar position in freight forwarding industry
• Fluent in English and Vietnamese
• Basic accounting and administrative skills
• Careful person
• Knowledge of local and overseas custom and regulations
• Experience in logistics/ forwarding industry
• Basic geography knowledge
On- Job Skill
• Operation system: fluently create Quick Booking, Shipment, Consol & follow up KPI on system
• Be trained how to handle Consolidation planning (if be assigned)
• Transportation knowledge: well know Seafreight Basic knowledge & Incoterm
• Work planning and controlling: follow up & control shipments well on system
• Be trained to get certificate & know how to handle Dangerous goods handling & Pharma handling (if be assigned)
• Be trained & know Security filing for specific destination (if be assigned)
• Good communication & problem solving
