Admin:
· Apply, renewal, cancel work permit, visas , temporary residence cards for foreigners , and work with departments related to document for foreigners;
· Manage day- to- day operations of the office, including managing drivers, cleaners...;
· Other admin tasks as assigned.
· Store and print important company documents, especially when there are important events or meetings. Organize and prepare meeting schedules for important company meetings;
· Monitor office administrative costs and apply before the payment deadline on the dingtalk internal system; contact and work with the building management (when necessary);
· Provide administrative support including travel arrangements, flight reservation, hotel accommodation for employees&039; travelling;
· Maintain office filing system and update databases;
· Manage office equipment and supplies, and ordering new equipment and supplies as needed ;
· Monitor company budgets; Before the 15th of every month, update the cost summary reports of all Ho Chi Minh and Hai Phong office branches and send it to Chief Owner&039;s Representative;
· Support events and festival celebrations execution for company activities: Birthdays, Company trip, year end party...;
Human Resource :
· Staff Movement & Contact Listing & Organization Chart update & Monthly Employee Data , Maintain & update HR form regular;
· Handle attendance & overtime, employee claims & reimbursements, and renewal of group medical insurance;
· Assist periodic performance reviews ;
· Identifying the company’s hiring needs and managing the recruitment process to ensure it runs smoothly;
· On- boarding / Off- boarding process and organize staff orientation;
· Coordinate with related departments to complete other assigned tasks;
· Liaise with HODs for the job descriptions for team members;
· Other duties/ad- hoc tasks as assigned.
· Processing of Government Bodies claim such as Maternity claims, and any other statutory claims;
· Assist to work with VN Government (department of labor, social insurance, tax...) when necessary;
· Update recruitment reports for recruitment status & strategies assessment. Including recruitment cost;
· Assist to identify competency gaps and propose relevant trainings program or ELearning;
· Maintain a good and comprehensive filing system / data maintenance of all staffs’ Personal Files;
· Maintain staffs’ Training & Development records & Training administration (registration for courses, payment, submission of subsidies, post course evaluation);
· Arrange employment- related documents signing, e.g., employment short term contact, letter of appointment, etc;
