As a Sale Admin, you play a key role in supporting our commercial operations, ensuring smooth coordination between departments and seamless service delivery to clients.
The Miracle Vietnam Co., Ltd is a Social Outreach–driven agency specializing in Influencer Marketing, Community Engagement, and Integrated Social Campaigns across Vietnam and Southeast Asia.
*Responsibilities
Sales Support
- Monitor client receivables, proactively send payment reminders, and work closely with the Accounting/Finance team to ensure timely payment settlement.
- Track the progress of contracts/orders and coordinate with internal teams to ensure services are delivered in accordance with agreed commitments.
- Prepare, process, and follow up on contracts, contract appendices, sales orders, invoices, and related sales documentation with relevant stakeholders.
Customer Information & Document Management
- Ensure the accuracy, completeness, and consistency of data for internal tracking, reconciliation, and reporting purposes.
- Update, manage, and maintain customer information, contract files, and sales documents in a structured, well- organized, and easily accessible manner.
Internal Coordination
- Work closely with Accounting, Operations, Social Outreach, and other relevant teams to handle issues related to customers, contracts, or orders.
- Proactively propose improvements to processes, templates, and workflows to enhance efficiency and minimize operational errors.
Reporting & Administrative Tasks
- Prepare and update daily, weekly, and monthly reports related to contracts, revenue, and payment status as required by management.
- Perform other administrative and operational support tasks as assigned by the line manager.
*Requirements
- Detail- oriented, honest, responsible, and reliable.
- Bachelor’s degree in Economics, Marketing
- Open to fresh graduates – training provided
- Skills: Proficient in Microsoft Office (Excel, Word); PowerPoint is a plus.
- Strong communication skills; quick, adaptable, and solution- oriented.
- Proactive, eager to learn, and capable of working independently or in a team.
- Experience in Sales Admin / Operations / Customer Service is a plus.
