HR
Payroll Management
- Oversee the monthly payroll process, including calculations for overtime, allowances, and deductions.
- Address and resolve employee inquiries or concerns regarding salary, benefits, and company policies.
Social insurance
- Prepare and submit reports for sick leave, maternity leave, and employee changes (increase/decrease) using the iBHXH system.
Personal Income Tax (PIT) Submission
- Handle the submission of employee personal income tax in compliance with local regulations.
Employment Management
- Develop and execute recruitment plans (yearly, quarterly, monthly) based on business needs.
- Conduct orientation programs for new employees, covering company information, business operations, benefits, and growth opportunities.
- Prepare and draft employment contracts for new hires, ensuring all terms and conditions align with company policies and Vietnam labor law.
- Manage the entire offboarding process for departing employees, including resignations, retirements, and terminations.
- Track probation periods and notify supervisors/managers at least 2- 3 weeks in advance for contract updates.
Performance Appraisals
- Plan and implement the performance evaluation process in coordination with department managers.
Leave Management
- Monitor monthly leave records based on timesheets and maintain an up- to- date leave management file.
Budget Planning
- Assist in preparing the annual HR budget based on manpower requirements.
ADMIN
- Manage office and notary licenses; book hotels, transportation, and other logistics for staff, including Back Office, Sales, Operations, and BOD.
- Verify and process invoices, prepare payment requests, and coordinate with the accounting team.
- Receive, process, and store dispatches, letters, and other documents; handle all paperwork within the scope of responsibility.
- Maintain and summarize attendance records based on office data and timesheets from the Yard Admin.
- Track company car usage, including VETC recharge and timesheet monitoring.
- Handle tasks related to visas, passports, and work permits for foreign employees.
- Coordinate with suppliers for office equipment maintenance (e.g., telephone, computers, printers) and manage orders for stationery, PPE, and other admin needs.
- Organize company events and activities (e.g., Year- End Party, team building, birthdays, and internal games).
