Max D Thetis is an integrated communications agency partnering with leading brands such as Xiaomi, VIB, and Chubb Life. We are looking for an Account Director Assistant to support the Account Director in managing day- to- day account operations, project coordination, and client servicing tasks, ensuring IMC campaigns are executed smoothly, on time, and in line with agreed scopes and deliverables.
JOB DESCRIPTION
Project management (35%)
Monitor project risks and potential issues; proactively consolidate insights, flag risks, and propose solutions to the Account Director.
Coordinate and closely follow up with internal teams including Planning, Creative, Media, Finance, Legal, and Admin to ensure smooth planning, execution, and reporting.
Prepare materials and support the Account Director in presenting proposals and company credentials to clients.
Support the Account Director in developing a master roadmap/framework for integrated IMC projects, ensuring all stakeholders clearly understand their roles across production, social, PR, and event activities.
Assist in cost management, including budget tracking, quotation follow- up, cost control, reconciliation, and settlement.
Support early identification of issues/crises, and assist in coordinating cross- channel content execution during crisis management phases in line with approved strategies.
Support the management of external partners such as media agencies, KOL/KOL agencies, event agencies, production houses, freelancers, and press to meet agreed timeline, budget, and quality standards.
Project Execution (15%)
Support the development of cross- channel communication content, including both content and visual production, ensuring alignment with strategic direction and brand guidelines.
Handle and follow up on all project- related paperwork and documentation.
Assist in proposing and monitoring digital production initiatives (websites, apps, games), digital amplification, and conversation management; coordinate with third- party vendors to ensure proper execution.
Support the organization of medium- scale events (press conferences, seminars, offline events), including planning, venue and decoration booking, guest list management, and speech/content preparation.
Client & Relationship Support – 20%
Support the development and maintenance of relationships with media, KOLs/celebrities, major fan pages, and online communities.
Assist the Account Director in client servicing, monitoring client feedback, and ensuring communication between agency and client is accurate, timely, and contextually aligned.
Gradually develop the capability to act as a strategic advisor, contributing valuable insights and recommendations to clients.
Team & Operational Leadership Support – 20%
Monitor team progress and work quality; consolidate performance feedback and report to the Account Director.
Act as an internal connector to foster effective collaboration and a positive team working environment.
Support the Account Director in workload and project allocation across the account team.
Participate in coaching and mentoring junior team members and support the development of career progression paths within the team.
Business Development & Agency Operations Support – 10%
Participate in identifying and supporting new business opportunities and projects when required.
Contribute to building and maintaining the company/department data hub (clients, vendors, KOLs, partners).
Assist in preparing materials and data for pitching activities and internal training sessions.
Support the cascading of company strategy, culture, integrated working processes, and transformation initiatives to team members.
Support the Account Director in developing and executing departmental business strategies and action plans.
REQUIREMENT
Good in English (professional communication).
Education/Professional knowledge/Major: College/BA in Communications, Marketing or related fields (Journalism, Languages, International Relations, Foreign Trade, etc.).
Good in writing or editing effective cross- channel contents in various styles.
Good in Microsoft Office programs (Microsoft Word, Excel, PowerPoint),
At least 2- 3 years of experience in related fields.

Salary: Negotiable (Senior Executive Level)
