Position Summary
The HR Office Supervisor is responsible for overseeing the company’s HR and administrative functions, ensuring compliance with labor regulations, maintaining smooth office operations, and supporting the BOM in driving HR initiatives.
Key Responsibilities
HR Compliance & Processes
• Collect and update employee information into the HRM software to ensure accurate and up- to- date records.
• Ensure full compliance with Group policies, labor regulations, and the company’s code of conduct.
• Manage offboarding processes, including coordination with relevant departments.
• Conduct onboarding training for 100% of new hires on company policies.
• Work closely with the Management team to address labor disputes and employee relations issues in a timely and lawful manner.
HR & Operations
• Manage the company’s internal information portal; update weekly internal events on the MY CPM app (e.g., staff birthdays, weekly Step Challenge results).
• Organize Sharing Friday sessions to enhance team engagement and communication.
• Track staff attendance and leave, report to the Managing Director, and remind employees to ensure policy compliance.
• Act as a bridge between employees and the BOM to promptly share concerns, feedback, and HR- related matters.
• Work with the Warehouse staff to manage and report warehouse inventory status to the Managing Director and Project Leaders.
Office Management
• Prepare monthly reports on office- related expenses and propose effective solutions to optimize and control office costs.
• Collaborate with Finance and IT to update and track the company’s asset inventory.
• Manage employee services such as taxi cards, name cards, etc.
Employee Engagement & Welfare
• Organize big internal events such as Women’s Day, X- Mas, Team Building, Year End Party.
• Coordinate employee welfare activities and gifts for special occasions.
Skills & Competencies
• Interpersonal skills: Ability to work effectively with Heads and employees across departments.
• Initiative & creativity: Develop new ideas in employee engagement activities.
• Detail orientation: Ensure accuracy and timeliness of all reports and administrative tasks.
Qualifications
• Strong knowledge of Vietnam labor law and HR best practices.
• Bachelor’s degree in human resources, Business Administration, or related field.
• Good communication skills in Vietnamese and English (written and spoken).
• Proficient in MS Office (Word, Excel, PowerPoint).
• Minimum 2- 3 years of HR and/or office administration experience.
