The Executive Assistant will be responsible for providing comprehensive support to the Vice President (VP) of Operations and the assigned Executive Leadership team (ELT) in their day- to- day & project activities. Reporting directly to the VP of Operations, you will act as a key liaison between the VP of Operations, the ELT and internal / external stakeholders, ensuring smooth operations and sufficient administrative support with high level of integrity.
To be successful in this role, the jobholder must possess effective communications skills with helpful demeanor both in Vietnamese and English, high character with confidential data management, demonstrates a proactive approach to problem- solving and dedicated to work with high sense of responsibility.
ROLES, RESPONSIBILITIES & TYPICAL ACTIVITIES:
• Perform proactive and advanced planning and execution on all administrative and supportive needs, including but not limited to: manage professional schedules for VP and the ELT, manage all logistic related to business travel arrangements, prepare documents, meeting management and project supports.
• Support the ELT with implementation of operational activities and projects which requires the VP’s involvement
• Handle sensitive information with the utmost discretion and professionalism and maintain strict confidentiality with all materials
• Assist with personal tasks for the VP (if required)
• Follow up and ensure all important information related to company events / projects and business activities are informed to the VP and the ELT promptly and accurately
• Classify and draft correspondence and handle communication with internal and external stakeholders for the VP in a timely and efficient manner.
• Other reasonable duties as assigned
• Manage flow of documentation to ensure final documents are provided to and signed by the VP and the ELT
• Coordinate with internal / external stakeholders to complete projects and tasks as directed by the VP and the ELT: monitor workload distribution, follow up the progress, ensure compliance with timelines and issue reminders for task completion
JOB REQUIREMENTS:
Qualifications / Experience:
• University degree in any major welcomed
• More than 5- year experience in relevant position
• English level (CEFR) C1 / IELTS 7.0 or above
Professional knowledge and skills:
• Reasonable knowledge of data research, analyzing and reporting
• Significant experience of managing office procedures and working with sensitive corporate information
• Detail- oriented, high sense of customer services and positive mindset
• Strong time management skills with a proven ability to meet deadlines
• Proficient with Microsoft Office Suite or related software
• Good interpersonal and conflict resolution skills
• Strong ability to prioritize and manage multiple tasks and projects with exceptional attention to detail and quality
